Program management discipline, from award through closeout.

Project and program management is one of AAHE’s six service areas, not an afterthought attached to training delivery. AAHE can carry a program as the responsible party: design, mobilization, delivery, reporting, and closeout, with the documentation a funder expects existing as the program runs rather than being reconstructed at the end.

Scope

Program design

Structuring a program against the statement of work, the target population, the performance period, and the outcomes the funder is buying.

Implementation

Standing the program up: sequencing, staffing, materials, sites, systems, and the decisions that have to be made before delivery can start.

Project planning

Work breakdown, dependencies, milestones, and the plan the schedule is built from.

Schedule management

Holding the schedule once it is agreed, and surfacing slippage early enough to do something about it.

Stakeholder coordination

Managing the parties a program answers to, which in public sector work routinely includes more than one public body, a funder, community partners, and the participants themselves.

Trainer and vendor coordination

Coordinating the people and suppliers delivering pieces of the scope, and holding them to the same standard as the rest of the program.

Participant management

Intake, rosters, attendance, communication, and the participant records that have to reconcile at closeout.

Budget monitoring

Tracking spend against the budget across the performance period, and flagging variance while it can still be corrected.

Deliverable tracking

Knowing what is owed, when, in what format, and to whom, and evidencing that it was delivered.

Performance reporting

Reporting in the client’s required format and cadence, in a form the funder can defend.

Program closeout

Final reporting, documentation handoff, reconciliation, and the materials the client retains for continued use.

How AAHE delivers under contract

Delivery approach

The same sequence applies whether AAHE holds the contract directly or delivers a defined scope for a prime.

  1. Requirement review. Review of the statement of work, target population, performance period, deliverables, and reporting expectations, followed by a direct conversation about fit. If AAHE is not the right fit for a requirement, we say so during this step.
  2. Program design. Curriculum, session structure, participant materials, and delivery schedule built to the requirement and to the population, with the deliverable list and acceptance criteria agreed in writing before delivery starts.
  3. Mobilization. Trainer and vendor coordination, participant intake and management, site and platform logistics, and confirmation of the reporting format the client and funder require.
  4. Delivery. Instruction delivered on the agreed schedule, with attendance, participation, and progress captured as the program runs rather than reconstructed afterward.
  5. Performance reporting. Deliverable tracking, budget monitoring, and performance reporting in the client’s required format and cadence.
  6. Closeout. Final reporting, documentation handoff, and program closeout, including any materials the client retains for continued use.
